 Job Description-: Administrative Assistant

Under the supervision of the Douglass Center Site Director, the Clerical Admin/Administrative Assistant, will provide a range of administrative support enabling Center members to maintain quality of life, while living independently in the community.


Coordinate and implement office procedures including, but not limited to:

  • Maintaining files in accordance with applicable regulations and requirements
  • Completion of member documentation as required by DFTA plus members registration
  • Providing administrative support to staff
  • Data Entry onto STARS PeerPlace System
  • Other duties regarding administrative reporting and recordkeeping
  • Welcome and greet members daily
  • Assure activity sign-in sheets are signed/dated properly
  • Ability to write a Case Note for member folder, as required by DFTA
  • Obtain, record Information/Referral units as required by DFTA
  • Provide Telephone Reassurance to home-bound seniors
  • Willingness to cover congregate lunch duties as assigned
  • Take accurate notes for all meetings, including Membership Meetings


  • Run some group activities as assigned
  • Encourage members to participate in Center activities, the lunch program and other activities at the center.
  • Take part in social gatherings/events as needed
  • Willingness to accompany seniors on outings/trips


  • Work as a member of a team to establish and maintain high level of care and respect for and communication with Seniors
  • Work cooperatively with other staff members
  • Share information about member progress, needs, and problems with Site Director and other staff in accordance with WSFSSH Confidentiality Policy
  • Attend training sessions and conferences as required for enhancement of job skills
  • Submit all required reports in a complete and timely manner
  • Assist with other duties as directed


  • Able to work in a multi-cultural environment, with staff and residents
  • Current NYC Food Handling Certificate or willingness to get certified
  • Current AED/CPR Certificate or willingness to get certified
  • Preferred: Bi-lingual in English and Spanish
